Privacy Policy

1. What we collect

  • Account and organization data: names, email addresses, authentication details, organization settings, and billing contact information.
  • Customer data you upload or sync: customer names, phone numbers, subscription numbers, plan details, expiry dates, areas, notes, and related account status.
  • WhatsApp messaging data: message content, templates you selected, recipient phone numbers, WhatsApp message identifiers, delivery status, timestamps, failure details, and message history needed to show delivery status and support conversations.
  • WhatsApp inbox data: inbound customer messages, profile names, phone numbers, reply text, button replies, media metadata such as file type and media id, conversation assignment, unread counts, and support reply history. We do not download or store media files in the inbox unless a future product feature says otherwise.
  • Payment evidence: sender name, transfer date, transaction reference, amount, proof images or notes you submit, and admin review status.
  • Usage, cookies, and operational logs: request timestamps, IP address, browser/device details, product analytics where permitted, error traces, and security events.

2. Why we use it

We use this data to provide Deep IQ: sign you in, manage your organization, import customer records, send WhatsApp messages, receive customer replies, show delivery and read status, support your account, process credit purchases, protect the service, and meet accounting or legal obligations.

3. WhatsApp and customer consent

Deep IQ sends and receives WhatsApp messages for your organization using WhatsApp Business services. You are responsible for making sure your customers have agreed to receive the messages you send, and for honoring opt-out or support requests. WhatsApp may process message content, recipient numbers, sender numbers, and delivery events according to its own business terms and policies.

4. Service providers

We share data with providers only as needed to operate the service:

  • Hosting and storage providers for secure application hosting, data storage, file uploads, and request handling.
  • WhatsApp delivery providers, including Meta WhatsApp Business Platform, for sending messages, receiving replies, and receiving delivery status updates.
  • Email providers for account, billing, and operational email.
  • Payment and banking providers when reviewing transfers, receipts, or credit purchases.
  • Analytics and monitoring providers for product analytics, performance, and error monitoring where permitted.

5. Retention

We keep account, organization, customer, and message records while your account is active and as needed to provide history, support, security, accounting, and dispute handling. Payment records are generally kept for 12 months after reconciliation unless a longer period is required. Operational logs are generally kept for about 30 days. You may request deletion as described below.

6. Your choices and rights

  • Access: request a copy of your data via support@deep-iq.net.
  • Correction: edit available account and customer details in the product, or contact us for fields not shown in the UI.
  • Deletion: request account deletion from Settings or by email. We may keep limited records where required for security, accounting, legal compliance, or dispute resolution.
  • Cookies: use the cookie banner or browser settings to control optional analytics cookies where available.

7. Security

We use access controls, encrypted connections, hashed passwords, server-side credential storage, and operational monitoring to protect the service. WhatsApp delivery credentials and webhook verification secrets are stored server-side and are not exposed in the browser.
